Privacy Policy
Effective date: October 15, 2026
AI Voice Ordering is a service of DeliverLogic, Inc, the company behind ActiveMenus (“ActiveMenus”, “we”, “us”). It answers a restaurant’s phone calls and takes orders by voice. This policy explains what information we collect, how we use it, and the choices you have.
It covers three groups of people:
- Restaurants that use AI Voice Ordering, and the people who manage their account.
- Callers who phone a restaurant that uses AI Voice Ordering.
- Website visitors who visit aivoiceordering.com.
Information we collect
From restaurants
- Contact details: name, email address and mobile number.
- Restaurant details: business name, location, address, opening hours and phone numbers.
- Your Square connection: your Square merchant and location IDs, the access tokens Square issues when you connect, and the menu, prices and modifiers in your Square catalog.
- Settings you give us, such as your transfer number, typical prep time and how your restaurant’s name should be pronounced.
- Feedback you send us from your setup page or by email.
- Subscription and billing information.
From callers
- The phone number you call from.
- A recording and a written transcript of the call.
- What you tell the assistant to complete your order, such as your name, the items you order, and your pickup time.
- If you choose to pay by link, the phone number we text the Square payment link to. Card details are entered on Square’s payment page and processed by Square. We do not receive or store your card number.
From website visitors
- When you visit aivoiceordering.com, we use analytics tools, including PostHog and our website host’s built-in analytics, to count visits and see which pages are used.
- These tools record the pages you view, the website that referred you, your browser and device type, and your approximate location (such as country or city) derived from your IP address.
- They may set a cookie or use similar storage in your browser so that repeat visits can be counted.
How we use information
- To answer calls, take orders and create them in the restaurant’s Square account.
- To text payment links and order updates to callers who ask for them.
- To transfer a call to the restaurant’s staff when a caller asks for a person.
- To keep the restaurant’s menu, prices and hours in step with Square.
- To review calls so we can fix mistakes and improve how the assistant understands orders.
- To provide support, manage subscriptions and billing, and contact restaurants about their account.
- To understand how visitors use our website, and to improve it.
- To keep the service secure and prevent misuse.
We do not sell personal information.
Who we share information with
- The restaurant you called. Your order, name and phone number go to that restaurant, through its Square account.
- Square, to create orders and payment links in the restaurant’s account.
- Service providers that run parts of the service for us, under agreements that limit their use of the information to that work: phone and text messaging carriers (such as Twilio), AI speech and language processing (such as OpenAI), cloud hosting and storage (such as Amazon Web Services), website analytics (such as PostHog), and tools for customer management, databases, link shortening and internal alerts.
- When required by law, or to protect the rights and safety of our users, the public or ActiveMenus.
How long we keep information
- Call recordings and transcripts: 30 days, then deleted.
- Restaurant account information: while the restaurant uses AI Voice Ordering, and afterwards only as long as needed for billing, legal or security purposes.
- Orders created in a restaurant’s Square account belong to that restaurant and stay in Square under Square’s own policies.
Disconnecting from Square
A restaurant can disconnect AI Voice Ordering from its Square Dashboard at any time. When it does, the access Square gave us stops working, and the restaurant’s assistant stops answering calls.
Security
Information is encrypted in transit. Square access tokens are encrypted at rest, and access to restaurant and call data is limited to the people and systems that need it to run the service. No system is perfectly secure, but we work to protect the information we hold.
Your choices
- Restaurants can update their settings on their setup page, and ask us to delete their information by emailing hello@activemenus.com from the address they signed up with.
- Callers can ask us to delete a call recording or transcript by emailing hello@activemenus.com with the phone number used and the approximate date and time of the call.
- Website visitors can block or delete analytics cookies in their browser settings, or use a browser extension that blocks analytics.
We will respond to requests within a reasonable time, and as required by the laws that apply to you.
Children
AI Voice Ordering is not directed to children under 13, and we do not knowingly collect their personal information.
Changes to this policy
We may update this policy. When we do, we will change the effective date above, and for significant changes we will notify restaurants by email.
